Dynamic label printing at Monuta

About Monuta

Monuta is one of the top companies in funeral services and funeral insurances in the Netherlands. Through their network of funeral homes, they cover the entire country. A lot of these funeral homes were independent in the past but are now part of Monuta. Until recently these funeral homes have been operating under their own names. Now, all these funeral homes are switching to the name Monuta. In order not to throw away the good name that all of these homes have in their region they combine the name Monuta with their old names, e.g. Monuta Dalmolen.

The challenge: Up to 30 Different letterheads

The invoices from all the funeral homes were produced and printed at the main office of Monuta. Up until now for every funeral home (30+) paper with a different letterhead was used and the back office employees had to change the paper in the printer several times a day. With the introduction of the new naming scheme and new letterheads Monuta wanted to print the full colour letterheads together with the invoices, instead of using paper with pre-printed letterheads.

Return on investment

If this could be realized with a cost effective solution it would give them a good return on investment: the working processes in the back office would be simplified and less pre-printed paper would be kept in storage. In their old solution, the invoices were created on and printed from the AS/400 through RPG print files. The change to a new company style and the introduction of full colour printing from the AS/400 would require a tremendous amount of work and a highly specialized and customized printing environment.

The solution: dynamic letterheads with ITP

Monuta Insurance was already using ITP for the production of their correspondence and insurance policies and they decided to use ITP for the production of their full colour funeral invoices as well. Because all the capabilities of Microsoft Word are available through ITP, it is very easy to include the pictures for the letterhead dynamically. Data in the AS/400 database determines which letterhead is placed on the document using an INCLUDEPICTURE field in Word.

Future proof

If the logos change in the future or new logos must be added this only requires the registration of a new name in the AS/400 database. No changes to the ITP model document or ITP coding are required. Furthermore, standard PC colour printers can be used. Through the flexible integration features of ITP this is all realized without changes to the business processes, with one exception: the tedious error prone changing of printer paper is a thing of the past.
