Output Management On The Menu – Pensioenfonds Horeca & Catering chooses ITP

With over 850,000 members and around 36,000 affiliated employers, Pensioenfonds Horeca & Catering (PH&C) is one of the Netherlands' largest pension funds. Of those 850,000 members, around 250,000 are currently actively working in the hospitality or catering sector. Such huge numbers result in a sizable administration with large volumes of incoming data, which PH&C receives from the UWV (Implementing Body for Employee Insurance Schemes) and the Netherlands tax administration. Having such large target groups generates an enormous flow of outgoing documents, such as pension statements for members and account settlements for employers. Seeing as PH&C runs its pension administration itself, and has done so for over 4 years now, it has been working hard on further professionalizing and improving communication with all parties involved. Output management is a key focus area in that improvement drive. In early 2011, PH&C picked ITP as it is broadly deployable and is a centrally positioned output management solution. The first project is now poised to go live.

Step-by-step approach

The first process to be tackled this year will be that of pension premium collection from employers. PH&C is currently working hard on the implementation of a new system for the employers administration -  Actuera's Maia. The first interface with ITP has meanwhile been realized and is ready for use.  As soon as Maia goes live, four documents will initially be produced using ITP, namely statements and letters, such as the first registration letter, and the letter informing a member of the advance premium. By the end of 2011, a total of 14 different document types must be produced using ITP. In 2012, attention will turn to the documents from IVPA, for the members administration. These include the welcome letter explaining the pension scheme and the Uniform Pension Statement.

Hans Udink, Project Manager at Pensioenfonds Horeca & Catering says “We are basically looking to reposition output within the organization. Every (sub-)application that generates output, in whatever format, must start using ITP. That's truly broad deployment. During this start-up phase, we will only be using ITP for documents we produce in batches (structured output) or unique (on-demand) documents that we make for individual employers or members. In the long run, we will, however, also be producing and managing the interactive correspondence flow through ITP. That will allow us to better streamline and simplify our communication process. A giant leap in our further professionalization.
