Loading Microsoft Word XP files

Microsoft Word XP documents can cause problems in the ITP/MDK Repository. For instance, errors occur when documents are made when the setting "Store random number to improve merge accuracy." is checked. This setting can be found in the Tools menu > Options > Security tab of Microsoft Word 2003/XP.

This setting inserts a random number in every document saved by this Microsoft Word installation. The number is stored in the document itself and cannot be removed afterward by unchecking this setting. Unfortunately, it is impossible to check afterwards e.g., in another installation or when the setting is unchecked again, whether or not a random number has been added to a document.

You can only see if such an inserted number is present when the following error message pops up from the ITP/MDK Repository :

Remedy

The remedy is to save an affected document in Microsoft Word as HTM. Make sure that the setting "Store random number to improve merge accuracy" is turned off. Close the document and reopen it in Microsoft Word and save it again, but now as a Microsoft Word document. After this procedure, the document can safely be (re)loaded into the ITP/MDK Repository. We recommend deleting the unusable version of the document in the ITP/MDK Repository before loading the cleaned version.
